We have been able to provide a proposal, offering discounts and incentives, to a couple for a wedding reception in Hawaii for May 2010. Their budget is $5000. This is a proposal designed for them, which can always be adjusted. For those of you who want a reception and are on a budget, IT IS POSSIBLE.
This is just a sample proposal for your wedding reception, keeping within a budget of $5000.
Included in the $5000 is the following (TAX AND GRATUITY ARE NOT INCLUDED):
Wedding Coordination including pre-wedding planning and onsite facilitation. Includes the following services:
*This includes up to 8 hours of on-site coordination, including the time from delivery and set up to break down and clean up. Additional time is $100 per hour.
*HIWP will facilitate the event by guiding the vendors, as well as direct the bridal party processional and flow of the event.
*The couple can book some vendors ahead of time, but HIWP can start planning with the couple from scratch and create a dream wedding.
*HIWP will communicate with the couple as needed to obtain all necessary information and make the couple feel at ease.
*HIWP will provide vendor suggestions and information after learning of the couple’s needs and desires.
*HIWP will always work hard to save the couple money on their wedding.
*HIWP will meet with the couple for 30 minutes on the day before the wedding. This is not a rehearsal. A rehearsal will not be needed for a reception only.
*HIWP will provide an interview and checklists to make sure the couple has not overlooked any details.
*Couple will provide copies of any vendor and venue contracts that have been obtained without the assistance of HIWP.
*HIWP will communicate with and reconfirm details with all hired vendors.
*HIWP will work with the couple to secure any necessary rentals, organize delivery and set up times, and organize times to pick up the items.
*HIWP will review all documents to make sure that nothing has been overlooked or forgotten, and help the couple prepare a Floor Plan and Wedding Day Timeline that will include all appointments, scheduled deliveries and services for the day.
*HIWP will provide the Wedding Day Timeline to the couple and vendors involved.
*HIWP will set up the couple's wedding items, including but not limited to the guest book, candy station, gift/reception table, place cards, gift card box, programs, fans, wedding favors, etc. Couple will provide verbal or written instructions for all items to HIWP.
*This does not include set up of any equipment or props, such as tents, tables, chairs, furniture, lighting, etc. The set up for those items are to be handled by the companies from which they are rented.
*If your wedding occurs outside the Honolulu area on Oahu outside of Kihei on Maui, outside of Kapaa on Kauai, or outside of Kona on the Big Island, a travel fee will be charged.
WEDDING RECEPTION LOCATION: OCEANFRONT TERRACE LOCATION IN HONOLULU
*Includes tables, chairs, basic white linens, use of the facility, glassware, China, flatware. *Includes parking for up to 15 cars.
*Includes use of the lanai and indoor banquet room.
*1 hour of Live Hawaiian Guitarist Solo
*1 hour of Live Hawaiian Guitarist with Hula Dancer (includes hula presentation and lesson for guests)
*2 hours of use of our CD/IPOD player
FLOWERS AND DECOR:
*Glass vase of sand, shells, and a battery operated candle that looks authentic. Scattered orchid heads on the table around the vase.
FOOD AND BEVERAGE: Based on a count of 40 guests
*Includes tables, chairs, basic white linens, use of the facility, glassware, China, flatware.
